Quick answer

Rate crowd, weather, venue, supplier and safety risks on a 1–5 scale and receive an AI report with mitigations. A free event risk assessment template.

Score each risk dimension for likelihood and consequence, then get an auto-scored report that ranks your exposure and flags the controls to put in place before the event. It gives organizers and venues a written record that risks were assessed, not merely discussed.

Disclaimer: this assessment supports internal planning and sign-off. It is not a substitute for a risk assessment by a competent person where legislation, a venue license or an insurer requires one.

Methodology: the Event Risk Assessment Form rates crowd and capacity risk rating, weather and environmental exposure, venue and infrastructure condition, supplier and contractor performance risk on a 1–5 scale, weights each dimension and reports the lowest-scoring one first. Scores are indicative for planning use, not a validated psychometric instrument.

About this template

The Event Risk Assessment Form scores the risk families that actually move an event: crowd and capacity, weather and environment, venue and infrastructure, suppliers and contractors, plus safety and security arrangements. Each dimension is rated 1 to 5 with weighted scoring behind it.

On completion it generates a personalised PDF report showing which dimensions sit above tolerance and which controls are missing — the document a client, venue or insurer is likely to ask for.

When to Use This Template

Three moments where a structured assessment beats an email thread or a paper sheet for event risk exposure.

Pre-event sign-off

Attach a scored assessment to the client approval pack.

2

Multi-day or outdoor events

Re-score weather and crowd exposure as conditions change.

3

Frequently Asked Questions

What does an event risk assessment score?
Likelihood and consequence for each risk family — crowd, weather, venue, suppliers, and safety and security — producing an exposure score per family and an overall position.
How often should an event risk assessment be redone?
At planning lock, again in the week before the event, and whenever a condition changes materially: a venue swap, an attendance increase, or a weather warning. Re-running the same template takes minutes.
Is a free event risk assessment template enough?
For internal sign-off and routine social or corporate events, yes — it gives a consistent, documented score. Regulated or high-capacity events still need a professional assessment reviewed by a competent person; this report supports that review rather than replacing it.
Do we still need a separate risk register?
Not for a single event. The submitted assessment is the register — hazard, rating, control and owner on one row, with the report putting the highest exposure first.
Who is qualified to complete this assessment?
The people who will be on site when it runs. Ratings change once someone realizes the only usable exit is a narrow service door.
Can one copy cover several events?
Yes. Each event is its own submission, so a stadium show and a workshop are never averaged into the same figure.
Which dimension drives the reported result?
The highest-rated hazard, not the mean. An event is limited by its worst exposure, so the report leads with that and the control recorded against it.
What does a low score actually guarantee?
Only that the judgment was low when it was made. It is not an assurance: re-score after any change of venue, forecast or capacity, and the earlier submission stays in the list as the audit trail.
