Use it to record every gift when it happens — amount and currency, channel, campaign and donor reference — producing a per-drive ledger you can reconcile against your payment processor and feed into receipts and year-end statements.

💡

About this template

Money that isn't recorded until the month's end becomes a reconciliation nightmare and a dozen 'did that check arrive?' conversations. This form logs every gift the moment it's made or noticed — amount and currency, channel (cash, transfer, online, in-kind), the campaign it belongs to, donor reference — producing a per-drive ledger that reconciles against your payment processor and feeds both receipts and year-end statements.

❓

Frequently Asked Questions

Why log gifts per campaign, not just per period?
Because the questions come campaign-shaped: how did the roof fund do? — a period total can't answer it. Tagging each gift at entry makes every later cut a filter, not a reconstruction.
Is this the same as the donor record form?
No — donor records hold who people are and their preferences; this ledger holds what happened between them and your bank account, gift by gift.
Do online payments still need logging here?
If your processor already exports clean, campaign-tagged totals, this form is a double-check — many teams run it for cash, transfers and in-kind gifts, where processors can't help.
Is it free to use?
Yes. Copy it into your FormLM workspace and list your active campaigns.
Who may add entries?
Staff with workspace access, each entry stamped with its recorder — the ledger stays attributable.
What about restricted gifts?
Notes and campaign tags carry restrictions (purpose, time window) so reports don't count money that isn't yours to move.
